    Job Description
    The Group Coordinator is instrumental in organizing and implementing events and is responsible for ensuring that guests receive outstanding customer service, which meets or exceeds their expectations. Additional responsibilities include assisting in generating new business and maintaining relationships with current clients as well as generating additional revenues through up-selling of facility products, services, and amenities.

    Primary Duties and Responsibilities:
    • Process requests for group outings/events and individual/leisure reservations.
    • Maintain clear notes and records.
    • Maintain group leads list, keeping leads, reservations blocks, available inventory, and contract processes up to date.
    • Coordinate with the Group Coordinator Assistant a timeline to obtain signed contracts and deposits in a timely manner for inquiring groups.
    • Organize and handle all details for group outings, special events, and tournaments including room reservations, meals, tee times, and other activities.  Ensure proper communication between departments to facilitate the coordination of all guest needs and activities. 
    • Prepare proposals and group outing information packages.
    • Conduct orientations and tours as needed for guests.  Interact with guests in a congenial and professional manner to provide information regarding facility, products, services, amenities, activities, policies, etc.
    • Handle customer inquiries and/or complaints in accordance with operating policies and procedures.
    • Be knowledgeable of golf shop operations and merchandise, restaurant and bar menus, hotel operations, and amenities in order to generate additional revenue through up-selling prior to and/or during outings/events.  Assist customers with special requests.
    • Monitor guest activities and customer satisfaction during group stay.
    • Review billing statements throughout group stay and ensure timely final payment of Master folio invoices.
    • Maintain positive relationships and communicate clearly, tactfully, and persuasively with all facility department heads to ensure that all employees, especially customer contact personnel, fully understand all pertinent details of events/outings in order to maximize customer satisfaction.
    • Inspect finished arrangements. Be present to oversee the actual service and greeting of guests. Make sure to have contact with the group leader at least twice during group stay, maybe more depending on the complexity of the program.
    • Performs other duties, as appropriate.
    Qualifications:
    • High school diploma required. College degree preferred.
    • Demonstrated quality written, verbal, and interpersonal communication skills.
    • Ability to analyze and solve problems; efficiently handle multiple duties under pressure with minimal supervision; work flexible hours as required including nights/weekends.
    • Positive attitude, professional manner, and appearance in all situations.
